Learn how to print multiple PDFs without merging them. This guide will show you how to use Xodo PDF Studio’s Batch Print tool to add individual PDFs or an entire folder, set a file order, choose your printer, its settings, and then physically print the documents in a single batch.

Opening an invoice. Choosing Print. Checking the settings. Printing. Closing it. Then doing the same thing 12 more times.

For a recurring stack of reports, invoices, or client documents, the repetition adds up quickly.

There’s a simpler way to accomplish the task though: batch print the PDFs using Xodo PDF Studio’s Batch Print tool.

It lets you add several files or a folder, set a processing order, and send them to a printer using the print settings you select. The PDFs themselves stay separate.

Our guide shows everything you need to know, including:

Let's start at the beginning.

When does batch printing PDFs make sense?

Batch printing works well when several PDFs need the same essential printer settings.

Think of a finance team with a folder containing 12 invoices ready to mail. If all 12 belong on Letter paper, use the same printer, and need the same general print setup, printing them as a batch saves you from setting up each file separately.

Other examples include:

  • Monthly client reports
  • Purchase orders and invoices
  • Classroom handouts stored as separate PDFs
  • Administrative forms
  • Recurring document packets
  • PDFs collected in one project folder

For larger or recurring groups of PDFs, a dedicated batch-printing tool will give you more control over your files before they’re sent to the printer. That’s the approach we’ll use in the steps below.

Xodo PDF Studio includes a Batch Print tool for adding individual PDFs or a folder, arranging the file order, and printing them without merging the source files first.

This also keeps the task distinct from combining PDFs into one document or arranging several pages on a single sheet.

How to batch print PDF files with Xodo PDF Studio

Suppose you have a folder containing 12 PDF invoices. You want Letter-size physical copies, and you want to keep all 12 original PDFs separate.

Here's the complete workflow:

1. Download and install Xodo PDF Studio

The free demo adds watermarks to pages, and a free trial removes watermarks and unlocks all features for 3 days.

2. Open the Batch tool and add your files

  • Go to Batch > Print.
  • Click on Add Files to select individual documents. Or click on Add Folder to add the contents of a directory.
  • Select a default directory for Xodo PDF Studio to include.
  • Include any subfolders if needed.

This approach lets you print all the PDFs in a folder without creating a new combined PDF first.

3. Specify passwords and printing order

  • Include any passwords needed to open your files in the fields provided.
  • Check your file list and printing order.
  • Move files by selecting the file and clicking on the arrows.
  • Delete any files by clicking on the trash icon.
  • Click on Start...

4. Choose your physical printer

  • Select the local physical printer you want to use (not a PDF-creation or print-to-file driver).
  • Choose your printer settings. The last used printer dialog will be used when printing a batch.

Options may be enabled or disabled according to the capabilities the printer reports to Xodo PDF Studio.

In cases where a supported printer option is not displayed correctly, use the system print dialog.

5. Review the shared print setup

Before sending the full batch to print, check the settings that will affect your output. When printing, each document will be handled individually using the chosen settings from the print dialog.

Depending on your printer and driver, your settings can include:

  • Paper size, such as US Letter
  • Portrait or landscape orientation
  • Page scaling
  • Duplex or single-sided printing
  • Number of copies
  • Collation when printing multiple copies
  • Comments and annotations

Note: Don't assume every printer will have the same controls. Xodo PDF Studio gets information about supported options from the selected printer, so a setting available on one device may be absent or behave differently on another.

6. Test a small sample, then print the remaining files

Before committing a large stack of paper, start with a small, representative batch. Choose PDFs that will help you spot potential problems, such as files with different page orientations or annotations.

  • Click on Print to send the test batch to your selected printer.

Once the pages have printed, check the physical output for:

  • Correct document sequence
  • Correct paper size
  • Portrait or landscape orientation
  • Scaling or clipped content
  • Duplex or single-sided printing
  • Annotation visibility, if applicable
  • Any other printer-specific issue

If printing is successful, run the remaining documents using the same settings. These steps can be especially useful on a shared printer where other users' jobs may enter the print queue between your documents.

What should you know before batch printing multiple PDFs?

Does “print multiple PDFs at once” mean one print job?

No. A batch should not be treated as one combined printer job.

When printing, each document is handled individually using the settings chosen in the print dialog. So in the 12-invoice example, you're setting up and initiating the PDFs through one batch workflow.

You aren't turning those invoices into one PDF or receiving a guarantee that the printer will treat all 12 as one indivisible job.

This is why source-file order and physical output order deserve separate checks, particularly with a shared printer.

What if the PDFs need different settings?

One batch works best when the files share the same print requirements. However, those 12 invoices might have mixed requirements:

  • Eight need Letter paper and duplex printing.
  • Two need Letter paper and single-sided printing.
  • Two need a different paper or printer configuration.

Instead of expecting separate per-file settings inside the same batch, divide the files into groups with compatible requirements and print each group as its own batch.

For example:

  • Batch 1: eight Letter, duplex PDFs
  • Batch 2: two Letter, single-sided PDFs
  • Batch 3: two PDFs requiring the alternate configuration

This keeps the workflow predictable because PDF Studio applies the chosen print-dialog settings as it handles the documents individually.

The same principle applies when annotation visibility differs. If one group needs comments printed and another does not, separating those files into appropriate batches is clearer than treating the batch as though every PDF has independent print settings.

What can cause a batch print to fail or look wrong?

A batch can still run into document-level or printer-level problems. Check these areas first.

I) A printer option is unavailable

Xodo PDF Studio enables and disables print options based on information reported by the printer. If your printer supports something that Xodo PDF Studio shows as unavailable, try using your operating system's print dialog instead.

II) A PDF is password protected

The Xodo PDF Studio Batch Print tool supports passwords for opening protected documents. You'll have fields for up to four passwords to try during a batch print job. Be sure to only enter credentials you're authorized to use.

III) Comments appear when you did not expect them

Review your Comments & Forms print setting and test a marked-up PDF. If controlling annotation output is the main task, check out our guide on printing a PDF without comments for steps to keep comments out of the printed output.

IV) Pages come out at an unexpected size

Check your paper size and scaling options before rerunning the whole batch. A PDF's page dimensions and the physical paper loaded in the printer are separate variables.

V) You actually need several pages arranged on each sheet

This is a different printing task altogether. If pages need to be repositioned for folding, cutting, binding, or production layouts, use the PDF imposition options in Xodo PDF Studio to set up your page output accurately.

Frequently asked questions

1. Can I save passwords for protected PDFs for my next batch?

No. Passwords you've entered for a Batch Print process are used only for that batch. They aren't stored and must be entered again for a new batch process.

2. Why is a printer feature disabled in Xodo PDF Studio?

Xodo PDF Studio enables print options according to capabilities reported by the printer. A feature can therefore appear disabled even when the hardware supports it if the capability was not reported to PDF Studio.

3. Can I print multiple files without opening each file individually?

Yes. A batch-print job with Xodo PDF Studio can send multiple PDFs to a printer without requiring you to manually open each file individually. You can use the Preview window of the print dialog to view each file.

4. Can I print only certain pages from multiple PDFs?

No, for batch print jobs you can't print certain pages from multiple PDFs. Xodo PDF Studio doesn't let you select separate page-ranges for each file within one batch. If different PDFs need different page ranges, they should be printed as separate print jobs.

5. Does Collate control the order of separate PDF files?

No. The Collate option does not control the the order of separate PDF files. Collate refers to the page sequence of multiple copies of a document. For instance, two copies of a three-page PDF print as 1-2-3, 1-2-3 when collated.

6. Can I batch print PDFs without an internet connection?

Yes. Xodo PDF Studio is a desktop application and can work entirely offline. However, be sure to check the requirements of wireless printers that may connect via online apps.

Make your next PDF batch easier to print

Batch printing is most useful when you have a group of separate PDFs that share the same general print requirements. The key is to check the file order and print settings first, then test a small batch before committing paper and ink to the full stack.

If this is a recurring task, Xodo PDF Studio provides a desktop Batch Print workflow for handling multiple PDFs while keeping the source files separate. It runs on Windows, macOS, and Linux and can be used offline.

If you’re deciding whether it fits an individual or team workflow, you can compare Xodo plans and licensing, including subscription and perpetual-license options for PDF Studio.
